Changing an Employees Employment Basis



Changing an employee from Casual to Full Time/Part Time

To change an employee from Casual to either Part Time or Full Time, you will need to firstly update their personal details page:
      1. Go into the employees Personal Details page (People > View People > click on the employees name).
      2. Update the employees pay rate to their permanent rate, this can be per annum (if applicable).
      3. Update their Employment Basis to either Full Time or Part Time
      4. If required, update their Tax Free Threshold

Once you have updated the above, please go to their Timesheet Template and;
      1. Add the annual leave entitlement by creating a new transaction on the employees timesheet template.
                  a. Enter 0 as the quantity
                  b. Select the applicable annual leave entitlement rule for this employee
                  c. Leave the cost centre (if enabled) and rate fields empty
                  d. Click +Add


This will then create an annual leave entitlement on the employees timesheet template, as per the example below.



Repeat this step for the employees sick leave entitlement.

If the employee has standard reoccurring hours and are not using a time and attendance software, you will need to set these up on the employees timesheet template.
      1. In the quantity box, enter the hours per pay frequency. E.g if the employee works 38 hours a week and your pay cycle is fortnightly, your timesheet template hours would be 76.
      2. Select T1 - Ordinary Time as the element
      3. Leave the rate blank, this will automatically feed from the employees personal details page pay rate you updated above.

Once the above has been completed, the employees timesheet template will look similar to this.




Changing an employee from Full Time/Part Time to Casual

To change an employee from either Part Time or Full Time to Casual, you will need to firstly update their personal details page:
      1. Go into the employees Personal Details page (People > View People > click on the employees name).
      2. Update the employees pay rate, to their casual rate (if applicable). You can also change their rate type from per annum to per hour
    
      3. Update their Employment Basis to Casual
      4. If required, update their Tax Free Threshold

Once you have updated the above, please go to their Timesheet Template and remove;
      1. Any T1 - Ordinary Time transactions by clicking on the trash can icon


      2. Click on the annual leave entitlement rule and remove this transaction on the following screen


      3. Follow the step above to also remove the sick leave entitlement.

Once completed, the employees timesheet template should look like the following;
